How to optimize, standardize and automate task processing activities in a service system? Services are to a large extent about the proper coordination of tasks related to the execution of requests – those arising automatically and those generated manually.

Warranticon devotes a lot of attention to proper description of the task – assigning it to a source and to people or entities performing the task. The system treats each submission as a project to which we can assign one or more tasks, and then process them until they are settled.

Task creation

When creating a task manually, Warranticon helps to choose the right parameters faster, keeping in mind the relation of the product that the task concerns. Automatic prompts often allow you to shorten the work involved in looking for relationships between modules, while also pointing out preceding tasks. Optimally presented view of adding a task makes working with the system pleasant and intuitive.

Task execution process

Every task realized by Warranticon has its current stage:

  • New task – is an initiating stage in which basic relations already exist and at the right moment we can move to the next step, i.e.
  • Assigned task – Assigned task – requires the dispatcher or coordinator to designate the people to whom the task will be assigned. If this happens we move to the next step, which is initiated by the contractor
  • Task in progress – is a signal that actions have been taken to solve the problem.
  • Solved – means that the service time is stopped and the problem submitter has accepted the final result.
  • After solving the task, it is possible to define the parameters that allow to final Settlement or Completion of the task.  Settlement is accompanied by several key factors:
    • the sum of the labor time spent on the task,
    • cost of man-hour of a technician or person involved in the process,
    • list of products and services used to close the task;
  • At each stage it is also possible to Cancel – which finally ends the process of handling the task.

The flow of the task between stages is monitored, so it is possible to control the time spent on the task. At the same time during the task settlement it is possible to generate additional documents, for example cost invoices or warehouse documents.

The task can be saved to a PDF file and then printed in an accessible and clear way. The printout is often used when the client needs a paper document, while already more and more companies agree to accept electronic documents on a mobile device.
